Kuali Charges for Shipping Fees in Transtream

Our shipping software, known as Transtream, automatically bills Kuali account numbers entered by users of this software for associated shipping charges/fees for FedEx, UPS, DHL, and USPS.

At the present time, we do not have a mechanism (for anyone other than the user that submitted the shipment) to lookup the charges or obtain a “receipt” for these charges.  However, the user that requested the shipment does have the ability to generate such a receipt.

Please Note: Due to the 24/7/365 availability of Transtream, all transactions are captured and uploaded to Kuali on the next business day’s Kuali collector import.  This means transactions completed in Transtream will take 2 business days to appear in Kuali.  This process is necessary to capture all transactions for the given business day.

Find the Person that Initiated the Charges

To facilitate finding the person that is responsible for providing the receipt, we have included their eID name in our Kuali upload, as well as the Transtream Shipment ID number.  Below is an example of such a transaction, and where you can see the username of the person.

To lookup contact information of the user who shipped the package, use the NetID name provided in the Kuali charge to lookup their information in Outlook.

In Outlook
1) Click the Address Book icon in the ribbon. 
2) Click Advanced Find (blue link). 
3) In the Alias: box type the NetID username you see in the transaction. 
4) Click OK. 
This will return any results with associated contact information (look at the last column for Alias name).

It is the responsibility of the shipper to provide supporting documentation to the appropriate department accountant for reconciliation.

Due to the volume of outbound shipments created in Transtream each week, it is not possible for us to automate the delivery of a receipt to each business officer.  

We treat all transactions in Transtream like PCARD transactions, where as the shipper that creates the Shipment Requisition in Transtream is responsible for printing a Shipment Receipt from Transtream and providing that to their respective Business Office or Fiscal Officer for reconciliation with Kuali.  

This information is readily available to the Transtream user by accessing the View Shipments module and searching for their shipment.
